Harnessing AI in Salesforce: The Growing Importance of Prompt Engineering

October 16, 2025

As we all know, Salesforce is continuing its evolution in AI-first platform. A new and very important skill is emerging these days is Prompt Engineering. This skill was earlier reserved for data scientists and AI developers as it was considered very niche but now it is becoming a must have skill for Salesforce professionals across multiple domains.

This blog is for exploring what prompt engineering means within the Salesforce Ecosystem, why it is important than ever and how one can start applying it effectively in daily workflows.

What Is Prompt Engineering?

It refers to the process of creating some effective instructions or prompts for AI models especially for Generative AI or LLM’s.

In simple terms, it is about conversing with AI tools clearly and strategically so that the results are exact, relatable and useful. With Salesforce’s features like Salesforce Copilot, Einstein GPT and Apex GPT, this skill is the bridge between business intent and AI-driven execution. The quality of your output depends on the clarity of your input.

Why Prompt Engineering Matters in Salesforce

Salesforce is now not just a CRM platform but now it has become a digital assistant, content generator, builder for code and an intelligent workflow engine and all powered by AI.

Below are the mentioned few areas where prompt engineering directly creates an impact on productivity and performance:

  • Sales teams can generate tailored emails or summaries for leads.
  • Service agents can instantly summarize complex case histories.
  • Developers can auto-generate boilerplate Apex or Flow logic.
  • Admins and consultants can speed up automation builds using natural language prompts.

In every above scenario, the type of instructions we give defines the quality of the result.

Real-World Salesforce Use Cases

This section shares some of the clear prompt engineering examples that are related to the real life scenarios. Let’s check some of them out:

  • Email Generation ( Sales Cloud + Einstein GPT)

What can be a basic prompt? “Write an Email”.

What can become an optimized prompt? “ Write an email to a lead who attended our webinar on data privacy held in the month of September. The tone should be professional and involve a CTA to schedule a demo”.

  • Case Summarization ( Service Cloud)

Prompt: “Summarize the customer case in three points: main issue, steps taken so far and next action recommendations.”

  • Apex Code Generation (Developer Console)

Prompt: Generate an Apex code for updating a contact’s email address based on the custom field called NewEmail_C

  • Flow Builder Automation

Prompt: “Create a flow that sends a welcome email whenever a new lead is created from a webinar source.”

Each of these prompts turns complex, time-consuming tasks into quick actions, saving time and increasing consistency.

Best Practices for Writing Effective Prompts

Like any other skill, prompt engineering upgrades with patience. It is not just about asking questions but is about asking the right type of questions, in the right manner for the outcome that shows in the right way. Whether an admin is building a Flow, a developer is writing Apex code or a service agent is summarising the case, the quality of the prompt decides the response from AI and shapes it. Here are the core principles to be kept in mind:

  1. Be Clear, Specific, and Goal-Oriented

Why it matters: When we give vague prompts to AI, the prompts confuse AI and mostly return incomplete  or with no relevance. A well defined prompt must clearly convey what a person is asking for and what is expected in return.

Tips:

  • Define the objective about what is needed.
  • Mention the context in terms of Salesforce  (e.g., object, field, user role).
  • Avoid general terms like “do this” or “make it better.

2. Provide Context (Business and Technical)

Why it matters: The performance of AI depends completely on the background of the request irrespective of the scenario. Be it CRM structure, customer history or object relationship relevance in Salesforce.

Tips:

  • Include CRM objects and fields that are involved
  • Add any business context like campaign names, dates, departments, or goals.
  • If the prompt involves AI outputs for customers, explain their needs or behaviour.

3. Set the Tone, Style, and Output Format

Why it matters: Content generated from AI should reflect brand voice and should suit the audience and the channel that are intended. Inconsistency in tone and wrong formats can break trust or reduce the engagement.

Tips:

  • Specify tone: formal, casual, professional, friendly, empathetic.
  • Mention the format: bullet points, paragraph, email, subject line etc.
  • Define the recipient (e.g., internal user, customer, executive).

4. Use Constraints and Structure

Why it matters: If there is no structure or constraints when the prompts are given to AI, it might over explain or under deliver. Hence, AI should not be given much freedom. Setting constraints helps in guiding AI to produce a well structured, clear and relevant content.

Tips:

  • Specify word count or character limits.
  • Ask for structure like numbers or bulleted lists.
  • Define sections like Title, Introduction, Key Points.

5. Iterate, Test, and Refine

Why it matters: AI doesn’t always get it right the first time. Specifically when the work is to be done with complex use cases. It can never be a one shot task. Hence, one needs to iterate AI, then test or read it and then if needed (most time it is) then refine it.

Tips:

  • Review the first result, then adjust the prompt to fix in case of any issues.
  • Use feedback loops
  • Try reiterating or adding context until the result improves.
  • Collaborate with developers to compare and refine prompts together.

Prompt Templates That Can Help

As you improve your prompting, consider building templates for commonly used tasks like:

  • Lead follow-up emails
  • Case summaries
  • Flow automation descriptions
  • Apex code stubs
  • Meeting recap summaries

Creating a shared prompt library for your team or org can increase consistency and save time across projects.

Getting Started with Prompt Engineering in Salesforce

You don't need advanced AI knowledge to begin. Here’s how you can start:

  • Experiment with prompts in Einstein GPT and Copilot
  • Practice rewriting and refining prompts for clarity
  • Collaborate with your team to create a shared prompt library
  • Stay Updated on new AI features in Salesforce releases

Finally, as AI is becoming a large part of everyone’s lives, prompting becomes a really important skill to learn so that a person can get the result or answer accurately. Now the same happens in Salesforce. It is getting deeply embedded in the Salesforce platform. Hence, it is getting very significant that we need to communicate with it effectively so that productivity is shaped and an impact is created. Prompt Engineering gives power to people for turning business issues into actionable AI tasks by bridging the gap between vision and execution. In the near future, if someone wants to be good at Salesforce, then being good at working with AI is a must. And prompt engineering is the language which unlocks it all.
